The user may use the Contact button to access all of the Outlook Contacts. The Pocket Sales Manager is designed to interface with certain functions of the Pocket Outlook database in the Pocket PC. This allows the user to move information from the 'Contact' list in Outlook Manager into any of the text fields within an Opportunity based upon a 'mapping scheme' defined in the Template, and described below for the standard Template. When a text field is selected for editing, there is a 'Contact' button on the bottom of the text display control.

This Contact button will bring up a screen that will allow a user to display a list of the contacts that a user has already entered into the Pocket Outlook Contact list, in one of three different ways (Note: If the user has less than 500 contacts, they will automatically all be displayed.)

If the user has more than 500 contacts, then the user must select one of the following ways to display an initial list!

All Contacts : This will display all the contacts in the Pocket PC Contact database. If the user has a large number of contacts, this may take some time, and it is recommended that this not be used in these circumstances.

Text Entry : The text entry box to the right of the 'All Contacts' button will allow the user to enter the first few letters of the contact name and then press the Find button (i.e. the little BLUE arrow <-). The system will only display those contacts whose names start appropriately.

#ab,cde, fgh... : These nine selection boxes will display only those names starting with one of the three characters in each box. e.g. If you click the box 'rst', you will see a list of those contacts whose names start with 'r', 's' or 't'. If there are no contacts whose names start with any of these letters, the list will be blank.

On initial entry, the names will display in sequence and be selected by Last Name. By clicking appropriately on the column heading buttons Last Name, First Name or Company, you can change the sequence and selection. Thus, if you press the Company Name button, and then press the All Contacts button again, the list of contacts will be displayed in Company Name sequence.

Selecting a contact from this list will then display details of that particular contact.

The user may indicate fields by 'checking' in the appropriate box, and the selected information will then be copied back into the Text box for the appropriate field for the Opportunity. For the standard template, this is as follows:

Company Name in Outlook Contact moved to Company Name in Opportunity
Last Name, First Name in Outlook Contact moved to Contact in Opportunity
Email1 from Outlook Contact moved to Contact in Opportunity
Work Telephone moved from Outlook Contact to Phone in Opportunity.

The Template Manager provides the ability to define any required mapping of data from the Outlook Contact to the Opportunity.

The Select All button will automatically select all the boxes on this field.

To conclude the example, let's say we selected Contact and Phone Number :

Pressing the OK button will then return us to the text entry screen for Contact :

where we can see that Drifter, David has been moved in as we requested, and now pressing OK again and returning to the main Pipeline display will show us that Contact and Phone Number have been moved in, exactly as we had requested.
