The Outlook Connection provides an fast, each-way method of taking contact information from/to Outlook and moving it to/from your sales opportunity. For a step-by-step walkthrough, see the section Getting Started Tutorials For Sales & Management Entering A Sales Opportunity - Outlook Contacts - Outlook Connection
Selecting A Contact
The Outlook Connection contains three areas and two tabs. The first tab is Select Contact. The Add/Edit tab is not visible until an Outlook folder has been selected.
The top/first tab in Outlook Connection is Select Contact.
Selecting An Outlook Contact Folder
In the left area of the Select Contact tab are file folders from Outlook. If there are no Outlook folders listed, Desktop Sales Manager was unable to connect or log on to Outlook. Outlook folders that have sub-folders (example above is circled in red) will list the number of sub folders. Click on a parent folder to see sub-folders.
The center area lists Outlook contacts from the folder that you have selected
The right area displays information that will be transferred to your sales opportunity. This information is controlled by the template that you have selected.
Selecting a contact
Selecting a folder will cause the contacts from that folder to be displayed in the center area of the Outlook Connection. Select a contact by a touching it with the mouse. When the contact is selected, the information from that contact is transferred to your sales opportunity under the control of your template. For example, when using the Standard Template, the Outlook fields FirstName and LastName are transferred to the sales opportunity field called Contact. The Outlook field Email1 is transferred to the sales opportunity field Email, etc.
When a contact is selected, the bottom of the contact list will show the selected contact's name. The right side of the Outlook Connection will show the information that will be transferred to the sales opportunity.
Look For A Contact
You can find contacts by entering a phrase in the "Look For" text area. Any Outlook contacts that have the phrase in the First Name, Last Name, Company, Email1 or Email 2 fields will be listed. Wildcard characters are not need, and the search is not case sensitive.
Entering the search phrase "austin" would list the following contacts:
