Set up your mailboxes to match your sales organization

The following example assumes you are a sales manager for Rhythm and Blues Services - a mythical professional services company that provides equipment and services to the professional touring musician. The example pipeline is based upon the Standard template, and uses either the Eastern Area or Western Area example pipelines that were installed with this program.

Rolling Up A Sales Forecast

If you are the sales manager for Rhythm and Blues, you want to be able to access individual sales pipelines for each of your sales people and also see a consolidated, "rolled up" pipeline that combines all of your direct report pipelines into one big-picture pipeline. Organizing the mailboxes in your post office will allow you to do these easily.

Recall that Rhythm and Blues has the following sales organization:

Listing the mailboxes

In Desktop Sales Manager select TOOLS --> DATA CENTER MANAGER. You may need to enter "Rythmn Blues" (or the name of the post office you created in the previous example) as the name of the post office and "blues" (or the password of the post office you created). If your program does not already have the mailboxes listed, click "List the mailboxes..."

Setting up the mailboxes

Set up mailbox #1 by clicking on it in the mailbox list and editing the information about the mailbox
Name: US Sales
Password: usa
Email: {example email address #1}

Now set up mailbox #2 for the Western area.
Name: Western Area
Pasword: west
Email: {example email address #2}

And finally, set up mailbox #3 for the Easter area:
Name: Eastern
Password: east
Email: {example email address #3}

Setting up the 'who-reports-to-who"

In order to facilitate the easy consolidation of sale pipelines into a sales forecast, we organize the mailboxes to mimic the company's sales organization. Use the "<" and ">" buttons above the list of mailboxes or the "Indent..." and "Un-indent..." buttons in the Post Office menu in arrange the mailbox #2 below mailbox #1. Select mailbox #2 and press the ">" button above the mailbox list.
