MailMerge With Word

You can use information from your sales opportunities to create letters, postcards, envelopes, and more through the Mail Merge capability in Microsoft Word. Desktop Sales Manager prepares and formats basic contact information, - name, address, etc - for use with Mail Merge in Word. Then from within Word you can access the prepared information and produce the documents you desire.

Selecting Opportunities

In Desktop Sales Manager select sales opportunities in the list area that you wish to use when creating Mail Merge information. Use the shift and Ctrl keys to select multiple opportunities. Filtering and sorting columns can be very helpful in the selection process.

Creating a Mail Merge data source

In Desktop Sales Manager choose OPPORTUNITIES --> MAIL MERGE and select the file name for your Mail Merge information. Choosing a file type of .CSV creates a comma delimited text file while choosing a file type of .TXT or .TAB creates a tab delimited text file. Word's Mail Merge function can use information from any of these file types.

Creating a Mail Merge data source via Copy/Paste

In Desktop Sales Manager choosing OPPORTUNITIES --> MAIL MERGE --> COPY puts sales opportunity information for Mail Merge into the Windows Clipboard. In Microsoft Word you can then paste the information into a Word document and use it as a data source for Mail Merge.

Mail Merge fields

The information that is captured from each selected sales opportunity is derived from two Desktop Sales Manager fields - the fields that your template indicates are the Contact field and Address field. Information for Mail Merge fields First Name and Last Name is extracted from Desktop Sales Manager's Contact field. The Mail Merge fields Address 1, Address 2, City, State, Postal Code and Country Or Region are sourced from Desktop Sales Manager's Address field. Creating information for these particular Mail Merge fields makes it possible to use the Mail Merge Block Address feature as well as using the fields individually.
