Desktop Sales Manager can automatically record the passage of email to clients in a Journal entry or entries. When sending email to a group, each recipient's Journal is annotated.
All email activity within Desktop Sales Manager requires that the template in use have a field whose property is designated Email. In other words, the template in use must tell Desktop Sales Manager what field holds the email address.
Creating a Journaled email
To send a Journaled email to your client, open their sales opportunity in the Opportunity Edit form. Then choose ACTION --> EMAIL WITH JOURNAL ENTRY.
Sending a Journaled email to a group
In Desktop Sales Manager select sales opportunities in the list area that are to receive an email. Use the shift and Ctrl keys to select multiple opportunities. Filtering and sorting columns can be very helpful in the selection process.
Once the selection is complete choose OPPORTUNITIES --> EMAIL WITH JOURNAL ENTRY or OPPORTUNITIES --> EMAIL Bcc WITH JOURNAL ENTRIES
Creating the message
A Journaled email may have three parts: An HTML message, an optional text version of the HTML message, and a Journal entry. The HTML message and the text message are sent to the client. The Journal Entry is put into the sales opportunity Journal. If you send a group email, the Journal Entry is copied into the Journal of each recipient. Html messages can be cut-and-past entered into the message area or simpler messages can be typed into the HTML area. Some clients prefer receiving email in text format, so the Text-Only Message area allows entry of an alternative text-only message to your client.
Creating the Journal Entry
The Journal Entry is the information that gets stored in the email sales opportunity Journal. It does NOT get sent to the client, so you may add notes or summarize the information sent. You also elect to include or not include the information from the email message that was sent.
