Setting the program's Options

User
Whenever a sales opportunity is created or edited, this user information is stored in the contact or deal. The user information is stored in your computer's local disk drive. If you are using the program on more than one computer (a desktop, and laptop, a home office system, etc) then you should fill out the User information for each of the computers that you use.

Ownership
The Name information is inserted into new or edited contacts of deals as the "owner".

When you edit an item you become the owner. There are situations where the editor of an item will not want to become the owner. A manager may make notes or a team member may update information. If you do NOT want to automatically be the owner of items that you edit, uncheck the "Make me the owner..." checkbox.

Journal
The Journal of the Opportunity Edit form can have a date and time stamped added using a button. In addition, the Full Screen Editor has a date time stamp button. The format choices are:

Include User Name
The user's name may also be included in the date/time stamp. This is useful when several users have access to a sales pipeline and you want to know who made a journal entry.

Log Status Changes

Any time a sales opportunity's status has changed a Journal entry can automatically be generated. The Journal entry is made AFTER the change of status is saved. It does not appear in the Journal while you are editing the sales opportunity.

FY Year
If your organization uses a fiscal year you may set the start of the year using the FY Information tab. You may choose any day and month for the start of the fiscal year, but only days between 1 and 28 are used in the fiscal year calculations. The day-of-the-month that you choose will be used as the start day for each of the 12 months of the fiscal year. For example, if you choose April 15th as the start of the fiscal year then the fiscal calendar looks like:

The program does not support choosing a start-of-month by position rather than date. For example, you cannot choose "the first Monday of the month" as a start of the FY month.

FY Day, Month, and Quarter Properties
You may see three of FY related dates in the Opportunity Edit form. If the template in use does not have a field designated as the expected booking date these fields are all 0. The FY Booking Date is reflected as a day-of-the-FY-year and is a number between 0 and 366. In addition, the FY Booking Month and FY Booking Quarter are displayed and all are based upon the expected booking date. Both FY Booking Date and FY Close dates can be used as Categories or as columns in the Pipeline Windows' List Area.

Alerts
Desktop Sales Manager will now alert you when appropriate. These alerts appear in the lower right corner of your computer's screen. For example not everyone enjoys these warning messages, so you can choose to suppress these alert messages through the Alerts tab. Unchecking "Allow Alerts" will prevent any alert messages from appearing.

Item Details/Exporting

Item Details: Desktop Sales Manager can automatically include handy sales opportunity details in appointments and tasks. You can choose which data fields and properties are automatically included in the details. Choose which data fields or properties to include by checking/unchecking them.

Exporting: When exporting information from Desktop Sales Manager it is often desirable to be able to choose which fields are exported - since there are rather a lot of them. Choose which data fields or properties to export by checking/unchecking them. To use the spreadsheet methaphor, choosing the fields corresponds to choosing which columns to create in your spreadsheet.

Since Exporting and Item Details are both controlled by these option settings, you may need to change or reset the options before or after exporting.
